Relocating Offices


 
An office relocation is an extremely complex process that one should not take on without the assistance of a professional company with experience in handling commercial moves. Aside from just moving furniture, an office move requires the relocation of important documents, computers and other various electronics, as well as break-room appliances. A move that is not done in an efficient manner could make an office move a much more costly endeavor, not just in money, but also in time and productivity. Provided are some things one must think about when planning an office move.
 
First, take an inventory of the workplace. This is useful not in just planning the size of a move and estimating the cost, but also in planning how you are going to set up your new work place.  It is also practical to allow your employees to take a tour of your new office before the move and allow them to give input on the layout and to know how they want their work station set up prior to the move taking place, this prevents the movers from having to move the furniture around multiple times and making sure the pieces fit.  Second, if you are moving from a high rise office building, find out if you are able to reserve the elevators or if the move must be conducted after office hours.  Also, find out if the property manager will require any documents from the moving company so this can be handled before the day of the move.
 
Another important aspect of office moving is knowing that your internet and phone systems will be available immediately. Nothing can be more stressful than moving into a new office and having a delay in access to the internet or phone. Ensure that you are in communication with your phone and internet providers, and make sure you have an available IT person on board with your move so that everything is set up promptly and smoothly.
 
When picking an office mover, it is wise to pick someone that has extensive experience in the field, for many reasons. First of all, those that specialize in commercial/office moves will often be able to take your business’ needs into consideration during a move. These include understanding which parts of the office require a priority in moving, allowing certain individuals whose jobs are a priority to be up and running quicker. Often times office furniture, such as cubicles, etc. can be much larger than the standard home desk or cabinet, requiring trickier maneuvering into and out of buildings.

Getting Organized For Your Move - Moving Checklist

When moving, there is so much to do and get done.  Let this helpful moving checklist help you get organized.

2 Months Before Move:
  • Sort through closets, drawers and cabinets to weed out what you don't need or want.  Have a garage sale to sale unwanted items or donate them to charity.
  • Inventory everything of value to determine replacement value for insurance purposes.
  • Begin to obtain estimates from several moving companies.
  • Organize school records.  Have your children's schools transfer their records to their new school district.
6 Weeks Before Move:
  • Order supplies - boxes, tape, bubble wrap, newsprint and permanent markers.  Don't forget to get specialty boxes, such as dish barrels and wardrobe boxes.
  • Start using up items that you don't/can't move, such as frozen or perishable foods and cleaning products.
  • Take measurements of the rooms at your new home to make sure your furniture will fit and larger pieces fo furniture will fit through the door.
One Month Before Move:
  • Select a moving company and secure your move date.  Get written confirmation of your moving date, costs, and other details.
  • Start packing.  Begin packing the things that you use infrequently.  Be sure to label each box with its contents and the room it belongs in.  Pack valuable jewelry and important files in a seperate box that you will transport with you.
  • Do a change of address with the post office.
  • Notify your employer, bank, credit card companies, magazine and newspaper subscriptions and insurance companies of your change of address.
  • Forward medical records.
One Week Before Move:
  • Finish packing boxes.
  • Confirm travel arrangements, if needed.
  • Get cash to have on hand.
  • Confirm with moving company.
Moving Day:
  • Pack up any essential items that were needed during the moving process.
  • Accompany the mover as he inventories your possessions.
  • Sign the bill of lading, ensure that the company address and phone number are correct, and keep a copy for your records.
  • Take a final tour of the house after the movers have finished to make certain nothing is left behind.
  • Turn off lights and be sure that all doors and windows are locked.

Moving Tips


When it comes to moving, packing can be the most stressful part of the whole process, but it doesn’t have to be that way.  Listed below are a few tips to help you get organized and reduce the stresses of packing and moving your items.

To make sure that your packing goes smoothly, the first thing that you want to do is make sure that you have plenty of packing supplies.  There is nothing worse than having to stop in the middle of packing to run out and purchase more boxes or tape.  The typical packing supplies that you will need are:

·         Plenty of boxes (be sure to set boxes aside for last minute items, such as clothing or bedding)

·         Packing tape

·         Bubble wrap or unprinted news-print or packing paper

It is usually better to prepare yourself with extra supplies, anything that is unused can be returned to the store after packing.

Pack one room at a time, that way everything in that room stays in the same boxes.

Start packing up items as soon as you find out that you will be moving.  By doing this it helps alleviate the stress of feeling rushed and packing at the last minute.  Anything you can pack ahead will save you time on moving day.  

Utilize wardrobe boxes.  These tall boxes are perfect for bulky, lightweight items such as comforters, pillows, and blankets, as well as clothes that need to remain hanging.

Color coordinate or mark the boxes with numbers to designate which room the boxes belong in.  Designate a color for each room in the new home, such as yellow for kitchen, orange for dining room, etc. Apply colored stickers on the box near the box number. Put a matching sticker on the door to each room. This will help the movers know where to put everything when they arrive at the destination.

Carefully wrap all fragile items in either bubble wrap or packing paper.  Surround each bundle with crushed paper, being careful to leave no unfilled spaces. Add two or three inches of crushed paper on top of the bundle to protect rims and make a level base for the next tier.   Be sure to mark FRAGILE on boxes that contain breakable items.

If possible, pack electronics back in the original boxes that were bought in.  If you do not still have the purchased boxes, be sure to wrap the items in bubble wrap or packing paper.

Keep the weight of your boxes reasonable; generally boxes that are less than 50 lbs are safer to move. If possible, put heavy items in small boxes to make them easier to carry.
